We are seeking an experienced, high caliber Records Management Manager to focus on ongoing development, improvement, and leadership of the Records Management function and systems while maintaining compliance with relevant regulations and standards. The Records Management function is responsible for records management and storage for records from a variety of sources. This position is responsible for managing suppliers of records imaging, storage, and destruction, including activity schedules and invoicing for services provided and for evaluating in-house and outsourced activities to assess opportunities for improvement and cost savings. This position will also evaluate and maintain the records management systems and tools to meet business objectives.

* Hire, develop, and retain a highly qualified records management staff and provides ongoing performance feedback. Set goals which align to Documentation Services plans and manage the execution of goals through coaching and mentoring. Maintain a safe and professional work environment.
* Provide leadership for deployment, coordination, and oversight of goals and objectives for the Records Management team. Lead cross-functional, cross-site teams to implement Records Management systems and process improvements.
* Provide guidance and direction with respect to Records Management Body of Knowledge across the organization.
* Manage activities of Records Management by establishing priorities, problem solving methods, and customer service objectives. Set goals, monitor progress against goals to ensure they are being met, and responsible for continuous improvement activities to meet business objectives.
* Partner with IT organization to assess available digital/imaged records systems and develop a strategy for development and implementation of one or more systems to meet the strategic direction for records management, including data migrations from legacy systems as appropriate. Manage the selected systems to ensure appropriate metadata and access is maintained to meet changing business needs.
* Establish a process to manage customer requests for retention of new records types and potential impact of record retention systems and schedule.
* Partner with Legal and applicable functional representatives to review and maintain the record retention schedule and methods.
* Establish and maintain records management procedures and work instructions, standardizing as appropriate as part of SJM business/quality system integration.
* Maintain positive and cooperative communications and collaboration with all levels of employees, management, customers, contractors, and vendors. Provide proactive and fact-based communication with management.
* Assess resource needs to ensure that qualified staff are available to meet projected business needs for records activities. Provide input into department budget and manage Documentation Services within the established budget.
* Train functional departments on the appropriate methods of record storage preparation and retrieval.
* Identify and implement process improvement opportunities to meet business objectives and manage costs while maintaining compliance with applicable regulations and standards.
* Maintain pick-up and delivery schedule of records.
* Maintain relationship with suppliers of records storage, imaging, and destruction and partner on process improvement opportunities.
* Review and approve monthly invoices; monitor expenditures for opportunities to reduce costs while maintaining appropriate retention and access to records. Review and propose changes to vendor statements of work as appropriate based on changes in records volumes and mix of records types.
* Establish methods for reviewing and maintaining accuracy of records storage database and ensure timely execution of those activities.
* Provide resources and support as needed for retrieval of records in support of internal and external audits.
* Complies with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments.
* Support St. Jude Medical initiatives as identified by management and in support of Quality Management Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements.
* Perform other related duties and responsibilities, on occasion, as assigned.
Your experience(s), education and knowledge will further expand St. Jude Medical’s marketplace success:
* Bachelor’s degree or equivalent work experience in Records Management, Document Control, Change Management, Quality Systems or related field required.
* 5-8 years experience in Records Management or related field with increasing levels of responsibility
* 3 years of people management experience
* Medical device or other regulated industry background required
* Proficiency with standard software packages (e.g. Microsoft suite)
* Demonstrated ability to work with service providers such as records scanning, storage and destruction suppliers
* Able to provide leadership to records management team. Skilled at delegation, follow-up, procedure development/improvement, and team building/development.
* Demonstrated ability to set goals and provide positive and constructive feedback respectfully to build positive relationships and improve business results.
* Strong attention to detail and organizational skills
* Ability to work in a fast-paced, highly matrixed and geographically diverse business environment.
